Managing Abstract Submissions

Once you have opened your "Call for Speakers" and started receiving abstract submissions, We provide a centralized location to manage and process these entries. The Review submissions section under Call for speakers offers a comprehensive overview of all received submissions and provides tools for reviewing, assigning, and taking action on them. This article will guide you through the various functionalities available in this section.


To access the list of received submissions, navigate to: Call for speakers > Review submissions

Here, you will find a list of all the abstracts submitted for your event. For each submission, you will see a summary of key information.


Actions Available via the Gear Icon

For each individual submission listed, you will find a gear icon on the right-hand side. Clicking this icon reveals a dropdown menu with the following actions:

View details: Selecting this option will open a detailed page for the specific submission. This page provides the organizer with a comprehensive view of all the information submitted by the author, including:

    • Submitted date and time: The exact date and time when the author submitted their abstract.
    • Status: The current status of the submission (e.g., Submitted, Accepted, Rejected).
    • Reviews: Displays the number of reviews completed for this submission based on reviewer feedback.
    • Grade: Reviewer's star rating , this field reflects the final star rating given by the reviewers for the abstract.
    • Summary: A brief overview or the main body of the abstract submitted by the author.
    • File attachment(s): Any files (e.g., documents, presentations) uploaded by the author fortheir submission.
    • Response to custom field: Displays the questions you configured in the "Custom questions" section during the abstract setup and the corresponding answers provided by the author.

      Organizers can use this detailed view to get a complete understanding of the submission content.

Accept/Reject Buttons: Located on the "View details" page, these prominent buttons allow the organizer to make a final decision on the submission based on their own review or the feedback received from reviewers. Clicking Accept will change the submission status to "Accepted," and clicking Reject will change it to "Rejected." and the respective notification email will be sent to the Author.


Assign a reviewer: Clicking this button opens a dedicated interface for assigning reviewers to submissions.

    • You will see a list of all submitted abstracts and a list of all reviewers you have added to the event.
    • Eventzilla uses checkboxes to allow you to select multiple abstracts and multiple reviewers simultaneously.
    • This feature enables you to efficiently assign several abstracts to one or more reviewers, or assign multiple reviewers to a single abstract for a more comprehensive evaluation.
    • Select the submissions and the respective reviewers, click on Assign.
    • This will send an notification email to the reviewer on the assigned submission which they can access and review on their reviewer profile.

Delete: Clicking the Delete button allows you to permanently remove selected submissions from the system. Use this action with caution as this deletes the submissions permanently. You will typically need to select the submissions you want to delete using checkboxes before clicking this button.

Export submissions: Clicking the Export submissions button will generate and download a report of all submissions in a CSV (Comma Separated Values) file format. This file can be easily opened with spreadsheet software like Microsoft Excel or Google Sheets.
