Sending invite emails for RSVP invite-only events

Once you've created invite-only tickets for your event, the next step is to send invite emails to your selected contacts. These invitations will contain a unique registration link, ensuring that only the invited individuals can access and register for your event.

Invite-only emails provide a secure and streamlined way to manage registrations for exclusive events.

Steps to send invite emails for invite-only events

Access the "Promotions" Section

After you’ve created the invite-only ticket type, go to your event dashboard and navigate to the "Promotions" section.

Click on "Invitations": Under the promotions menu, select "Invitations".

To create a new invitation, click on "Compose new invitation."

Select the invitation type

Choose the option to Send secure invitation with a unique registration link. Each invitation will be tied to the individual contact, ensuring the registration link is unique.

Compose your invitation email

Name your campaign: Give your invitation campaign a name so you can easily identify it later.

Create a compelling subject line: Write a subject line that grabs attention and encourages recipients to open the email.

Optional attachments: If needed, attach any relevant documents or event materials to the email.

Draft your content: Write the body of your invitation, including key details like the event name, date, venue, and any benefits of attending. Be sure to include a clear call-to-action, encouraging recipients to click the unique registration link and secure their spot.

Prepare your recipient list

You’ll need to either create a new contact list or use an existing list to send your invitations:

Create a new contact list: If you haven't already, prepare your contact list or import attendee details using a CSV file.

Use an existing contact list: Alternatively, you can select an existing contact list saved in your account.

Choose sending options

When you're ready to send the invitation emails, you have two options:

Send immediately: Send the invitation email in real-time.

Schedule for later: Set a specific date and time to send the invitation at a later date.

Review and preview

Quick Preview: View a preview of the email draft on the right side of the screen to ensure everything looks good.

Save as draft: If you’re not ready to send the email, you can click "Draft" to save a copy of your composed invitation.

Send test email: You can also send a test email to preview how the invitation will appear in the recipient’s inbox. This option will send a test preview email to the organizer's registered email address.

Complete registration

Once the invite emails are sent, invited contacts will receive an email with a unique registration link. They can click on this link, which will direct them to the event registration page where they can access the invite-only tickets and complete their registration.
