How to transfer an order to another date in a recurring event?

If an attendee has booked a ticket for the wrong date or time in a recurring event series, It is easy to transfer the registration to another occurrence of the event. This process allows organizers to move bookings across different dates or times without hassle, ensuring the attendee is correctly registered for the event they intend to attend.

This article will guide you through the steps to transfer an order between occurrences in a recurring event series.

When to use the order transfer feature?

You might need to transfer an attendee's order to a different date or time if:

  • The attendee booked a ticket for an incorrect event date (wrong date or time).
  • The attendee wants to change the date within a recurring event series.

Order transfers can only be done if there are future event dates available in the recurring event series. If there are no future dates, the system will not allow you to transfer the order.

Steps to transfer an order to another date

Follow these simple steps to transfer an order to another occurrence in the recurring event:

Log into your Eventzilla organizer account.

Go to Event > Manage Registrations > View Orders. This will display all the orders for your event.

Locate the specific Order ref no. that you wish to transfer.

Click on the Transfer icon (double-sided arrow) icon next to the order number. This icon indicates that the order can be transferred to another event date within the series.

A dialog box will appear asking you to select the new event date for the attendee , pick the appropriate date for the event occurrence the attendee wants to transfer to.

You will be prompted to enter a reason for the transfer. This information helps keep a record of the transfer request.

Optional selection to resend the confirmation email will be displayed , check on this option to resend the confirmation email to the attendee

After entering the reason, click "Transfer Order" to finalize the process.

The transfer can only be completed if there are enough available tickets for the new event date. If the new occurrence has sold out, the system will not allow the order to be transferred.


What happens after the transfer?

Once the order has been successfully transferred:

The attendee will receive a confirmation email about the change, informing them of their new event date and any other relevant details if you had chose the option to resend the email.

The original order details will be updated, reflecting the new event date, and the attendee’s registration will now be associated with the transferred date.

Orders cannot be partially transferred. If the order contains multiple tickets for different attendees, all tickets in that order must be transferred to the same event occurrence. It is not possible to transfer individual tickets from a single order to different event dates.
