What is the capacity value for an event and how to specify it?
This feature is particularly useful when you want to enforce an overall limit while still offering multiple types of tickets for different categories of attendees (e.g., general admission, VIP, children, etc.). Once the total capacity is reached, all ticket types will automatically show as "sold out."
In this article, we'll explain how to specify the capacity value for your event and manage ticket sales effectively.
What is event capacity?
The capacity value is the total number of tickets that can be sold for the entire event. This setting helps you limit the overall attendance, regardless of the number of different ticket types available. For example, if you have an event with a total capacity of 100 attendees, and you are offering both adult and child tickets, setting the event's total capacity will ensure you don't sell more than 100 tickets in total — even if you have separate ticket categories.
This allows you to prevent overselling while offering flexibility with various ticket options.
Example Scenario
Let’s say your event has a total capacity of 200. You are selling two types of tickets: 500 adult tickets and 500 child tickets. With the capacity value set to 200, the total number of tickets sold (both adult and child) will not exceed 200, even though there are multiple ticket types. This ensures that the total number of attendees does not surpass your venue’s capacity.
How to set your event capacity?
Follow these steps to set the capacity value for your event
Start by navigating to the Event section, go to the Registration >Ticket/ Registration. This is where you can manage all your ticket categories and configure the quantities.
Before setting the total capacity, ensure that all your ticket types (e.g., adult, child, VIP) have been created. For each ticket type, set the quantity to specify the number of tickets available for that category.
Once you have set up your ticket types and quantities, scroll to the section labeled Capacity Settings. This section allows you to input the overall capacity value for your event.
In the Capacity Settings section, you will find an option labeled Total capacity for the event (optional). Here, enter the total number of tickets you wish to sell for the event (e.g., 200). This will be the maximum number of tickets available across all ticket types.
The capacity setting does not change the individual quantities you set for each ticket type. However, it ensures that the total number of tickets sold across all types does not exceed the maximum value you have specified.
After entering the desired capacity value, make sure to Save Changes to apply the setting.
Once saved, the total event capacity will be enforced. This means that once the total number of tickets reaches the set capacity (e.g., 200), all ticket types will automatically be marked as sold out, even if there are still tickets available for specific categories (e.g., adults or children).
Overruling Ticket Quantities: The capacity value you set will override the individual ticket quantities for each ticket type. For example, if you have set the capacity to 200 and sold 100 tickets across multiple ticket types, the remaining available tickets will be limited to the 100 tickets that fit within the total capacity.
By following the steps outlined in this article, you can easily specify and manage your event’s capacity, ensuring a smooth and controlled registration process.
