Managing and Customizing System-Generated Event Emails

Stay in control of your event communication by easily managing all system-generated emails from a centralized dashboard. Whether it's before, during, or after your event, you can personalize each email to ensure that your messaging is consistent, professional, and tailored to the needs of your attendees, speakers, reviewers, and other participants.

This feature allows you to modify both the subject line and email body, insert dynamic placeholders, and tailor your content for various event scenarios—all from a single interface.


How to Edit System Emails

You can edit and customize email content by navigating to the following path

Engagement > Email Notifications > Preset Notifications > Click "Edit" next to the email you want to customize

Once in the email editor, you can adjust both the subject line and the body content for the selected notification.



Customizing the Email Content

1.Email Subject Line

  • In the Subject field, enter a clear and relevant title for your email—this could be the name of the event or a description of the email's purpose.

    To personalize your subject, add dynamic placeholders that will auto-populate with relevant event or participant data (e.g., event name, date).

    • Click the drop-down menu to choose from available placeholders and insert them directly into the subject line.

2. Email Body Content

  • The invitation content (or email body) is fully customizable.
  • Click "Insert Placeholders" to add dynamic fields such as recipient name, event title, session time, etc., which will auto-fill when the email is sent.
  • In addition to placeholders, you can add custom text to make your message more engaging and relevant.
  • Click "Insert {{Placeholder}}" anywhere in the email to personalize the message based on your event and recipient information.



List of Customizable Emails

You can edit various types of automated emails categorized by the stage of the event:

Before the Event

  • Speaker Invitation

    Sent to speakers invited to present at the event. Includes details for accessing their Speaker Portal.

  • Abstract Reviewer Invitation

    Sent to selected reviewers with instructions to evaluate abstracts or submissions.

  • Abstract Reviewer Assignment

    Notifies a reviewer when new abstracts or submissions are assigned to them for review.


During the Event

  • Registration Approval Request

    Sent to registrants whose registration needs organizer approval before confirmation.

  • Registration Request Approved

    Confirms successful registration to the attendee.

  • Registration Request Denied

    Informs the registrant that their request to attend the event was denied.

  • Waitlist Confirmation Request

    Sent to individuals added to the waitlist after a registration attempt.

  • Waitlist Accepted Notification

    Informs waitlisted registrants that a spot has opened and prompts them to complete their registration.

  • Abstract Submission Received

    Confirms receipt of an abstract and provides next steps in the review process.

  • Abstract Submission Accepted

    Notifies submitters that their abstract has been approved and what to expect next.

  • Abstract Submission Rejected

    Informs submitters that their abstract was reviewed but not selected for presentation.


After the Event

  • Post-Event Feedback Survey

    Sent to attendees to collect feedback and insights through a survey.

  • Certificate of Attendance

    Provides attendees with an official certificate verifying their participation in the event.
