Connect Zoom and add a meeting to your webinar

Eventzilla allows you to connect your Zoom account and use Zoom to host meetings or webinars. Once your Zoom account is connected, you can create a new Zoom session directly from your Eventzilla webinar settings or link an existing Zoom meeting/webinar to your event.

You can also manage the Zoom connection from Meetings/Webinar Providers, including reauthorizing an expired connection or revoking the connection when it is no longer required.


Connecting Your Zoom Account to Eventzilla

Before adding a Zoom meeting or webinar, connect your Zoom account to Eventzilla.

Connect your Zoom account

  1. Log in to your Eventzilla account.
  2. Go to Settings.
  3. Select Connected Accounts.
  4. Open Meetings/Webinar Providers.
  5. Click Connect a Zoom Account.
  6. Click Proceed to start the connection.
  7. Sign in to your Zoom account.
  8. Review the permissions requested by Eventzilla.
  9. Click Allow to authorize the connection.
  10. After the connection is successful, you will be redirected to Eventzilla.

Your Zoom account will now appear as a connected provider and can be used when configuring your webinar.


Reauthorize Your Zoom Account

The connection between Eventzilla and Zoom may expire or be revoked. If this happens, Eventzilla may no longer be able to sync your Zoom meeting information or send the appropriate Zoom join-link emails.

You may see a message such as:

Your Zoom connection has expired or was revoked.

Reauthorize Zoom

  1. Go to Settings → Connected Accounts → Meetings/Webinar Providers.
  2. Locate the connected Zoom account.
  3. Select the option to Reauthorize the account.
  4. Sign in to Zoom if prompted.
  5. Review and approve the requested permissions.

After reauthorization, return to your webinar settings.

If a Zoom meeting was already linked to the event, the linked meeting remains attached to the event after the account is reauthorized.


Revoke the Zoom Connection

If you no longer want Eventzilla to access your Zoom account, you can revoke the connection from the Meetings/Webinar Providers section.

Revoking the connection prevents Eventzilla from continuing to use the authorization for Zoom-related webinar or meeting functions.

If you later need to use Zoom with Eventzilla again, you can reconnect or authorize the account.


Configure Zoom for Your Webinar

After connecting your Zoom account, open your webinar's settings and select Zoom as the webinar provider.

You can then choose whether your event will use a Zoom Meeting or Zoom Webinar.

Zoom Meeting vs. Zoom Webinar

Option Best suited for
Meeting Interactive sessions where attendees can participate more directly
Webinar Larger or more presentation-focused sessions where attendees primarily watch and selected hosts/panelists present

Zoom Meeting

A Zoom Meeting is generally suitable for smaller, interactive sessions where participants may need to communicate and participate more actively.

Meeting is selected by default when configuring Zoom.

When you save the webinar settings with Meeting selected, Eventzilla can automatically create the Zoom meeting for the event.

Zoom Webinar

A Zoom Webinar provides a more presentation-oriented experience, where attendees typically join as viewers while hosts and panelists conduct the session.

A Zoom Webinar license is required on the connected Zoom account to create a new Zoom Webinar through Eventzilla.


Create a New Zoom Meeting or Link an Existing One

Eventzilla gives you the option to either create a new Zoom session or link an existing Zoom session.

Create a new Zoom meeting

When you select Create, Eventzilla creates the Zoom meeting automatically after you save the webinar settings.

This is useful when you have not already created a Zoom meeting for the event and want Eventzilla to create one for you.

If you already created a meeting in Zoom, you do not need to create another one.

Select the existing meeting from the available Zoom meeting dropdown in Eventzilla.

This allows you to connect the existing Zoom session to your Eventzilla webinar.

Use Create when you want Eventzilla to create the Zoom session for you.

Use Link when the Zoom meeting or webinar has already been created in your Zoom account.


Zoom Webinar License Requirement

If you select Zoom Webinar and choose to create a new webinar, the connected Zoom account must have an appropriate Zoom Webinar license. If the connected account does not have the required license, creation of the Zoom Webinar will fail. If you do not have a Zoom Webinar license

You can either:

  • Connect a Zoom account that has the required Webinar license, or
  • Select Zoom Meeting if a standard meeting is suitable for your event.

Lock Zoom Settings After Registrations

Some Zoom settings can become restricted after attendees have registered for the webinar.

This helps prevent changes to the underlying Zoom session after registration information and join details have already been associated with attendees.

Before accepting registrations, review your Zoom meeting configuration carefully.

Important: Once registrants are associated with the Zoom session, certain settings may be locked to prevent changes that could affect registered attendees.


Automatically Register Eventzilla Attendees in Zoom

When Zoom is connected to your webinar, Eventzilla can automatically register your Eventzilla attendees with the associated Zoom meeting or webinar.

This means attendees who successfully register through Eventzilla can be registered with Zoom without requiring them to complete a separate Zoom registration process.

This also helps Eventzilla provide the appropriate Zoom join information to registered attendees.


Disable Zoom's Own Emails

When using Eventzilla as the registration platform, you can avoid sending duplicate registration or reminder emails from Zoom.

If Eventzilla is managing registration and attendee communication for your event, consider disabling Zoom's own email notifications where appropriate.

This helps ensure that attendees receive their webinar communications through Eventzilla rather than receiving duplicate messages from both platforms.
