Inviting Speakers and Understanding Invitation Status for Your Event
Ensuring your speakers are well-informed and actively engaged is paramount to the success of your event. Eventzilla's platform simplifies this process by allowing you to invite speakers to create and manage their own profiles. This guide will walk you through the steps of inviting speakers and explain the different invitation statuses, enabling you to effectively track their progress and ensure they are well-prepared to contribute to your event.

Inviting Speakers to Create Their Profiles
The invitation process begins when you add a speaker to your event within the Eventzilla platform. Here's how to initiate the invitation:
Locate the "Invite Speaker" Option: While you are adding or editing a speaker's information, you will find an option labeled "Invite speaker to view and participate in their session(s)". This is typically a checkbox.
Check this box to enable the invitation process. By selecting this option, you are granting the speaker the ability to access their individual profile and manage their participation in the event.
Once the box is checked, an invitation email will be automatically sent to the speaker. The email will contain a unique link to activate their profile and begin the setup process.
Profile setup: The speaker will receive the email and can click on the activation link to begin their profile creation. This will give them access to manage their session(s), upload content, and update their personal and professional information.
Upon accessing the link, the speaker will follow the on-screen instructions to complete their profile setup.
Understanding Speaker Profile Invitation Status
The status of each speaker's profile invite helps you track the progress of their account activation. Here's what each status means:
Ready: The speaker has successfully clicked the activation link and completed the profile setup process. Their account is now active, and they can manage their session(s), upload content, and make any updates to their profile
Invited: The organizer has sent the invitation email, but the speaker has not yet clicked the activation link to activate their profile.
Expired: The invitation link has expired because it has passed the set time frame, and the speaker can no longer use this link to activate their profile.
Revoked: The organizer has manually revoked the invitation. This means the invitation link is no longer active, and the speaker cannot use it to access or activate their profile.
Resend: If the speaker has not activated their profile or if the link has expired, the organizer can resend the invitation link.
By diligently managing the speaker invitation process and understanding the different invitation statuses, you can ensure that all your speakers are well-prepared, their profiles are complete and accurate, and they are actively engaged in contributing to the success of your event.
