Webinar emails, reminders, and extra instructions
Eventzilla sends registration and reminder emails to webinar attendees with the information they need to join the webinar. The available reminder schedules and email customization options depend on the webinar hosting provider selected.
What registrants receive
After registering for a webinar, attendees receive emails containing relevant registration and webinar access information, such as:
- Webinar date, time, and details
- Registration confirmation
- Webinar join link
- Reminder notifications before the webinar
- Additional instructions, when configured
The Join link provided in the email takes the attendee through Eventzilla to the appropriate webinar destination, such as the live webinar room or watch page.

Eventzilla Webinar reminders
For webinars hosted with Eventzilla Webinar, reminder emails are sent:
- 24 hours before the webinar
- 1 hour before the webinar
- 15 minutes before the webinar
The reminder email copy can be customized through Joinlive. This allows you to provide attendees with relevant information or instructions before they join the webinar.
External webinar providers
When using Zoom, YouTube, Vimeo, or a custom streaming provider, the available reminder and instruction options differ from Eventzilla Webinar.
For supported external-provider setups, attendees can receive reminders at:
- 1 day before the webinar
- 1 hour before the webinar
Where supported, you can also provide Additional Instructions for attendees. These instructions can include information attendees should know before joining the webinar.
How attendees access the webinar
The webinar access link provided in the attendee emails routes through Eventzilla and takes the attendee to the appropriate destination:
- Eventzilla Webinar: Webinar room
- Zoom: Configured Zoom meeting or webinar

YouTube/Vimeo/Custom Stream: Configured watch or streaming page
This allows attendees to access the webinar using the link provided in their Eventzilla emails without needing to manually locate the webinar access URL.
